Buttons for Desktop Playback of Voice Messages PhoneSoft Unified Messaging can be configured to provide your users with a simple set of buttons within Notes to listen to voice messages from the desktop. Below are instructions for inserting these buttons into the Notes "Memo" form and the Notes "Inbox" view. Note that these buttons are not required to use the PhoneSoft product. Since voice objects are simply WAV files, just double clicking on any WAV file (voice message) from within Notes can launch a player and play a voice message. However, the "Play Multimedia" button makes this process simpler for the user, and the "Play by Phone button adds the capability for users without multimedia PCs (and those users wishing more privacy) to listen to voice messages from their desktop as well. You can follow the steps below to add these buttons to a user's mail file. If you wish to enable these buttons for all your users, the process below should be done instead to the user's mailbox template. Then the design of your user's mail files can be refreshed from your template to incorporate these enchacements. Making the changes using your mailbox file template is faster than making the changes to each of your user's mail files individually. ADDING BUTTONS TO THE MEMO FORM The following steps will add the "Play Multimedia" and "Play By Phone" buttons to the Memo Form. These steps can also be used to add these buttons to any Lotus Notes form. 1) Open Lotus Domino Designer. You can do this by any of the following: - Click on Start/Programs/Lotus Application/Lotus Domino Designer. - Click on the Domino Designer icon on the left side of the Lotus Notes window. - Select a database, go to File/View/Design - Right-click on a database and click on "Open In Designer" 2) Open PSMail.nsf. This is the example mail file which was installed with the PhoneSoft Unified Messaging product. Go to File/Database/Open. If you have moved this file to the Notes Data Directory, for the filename, you can just type in "PSMail.nsf". Otherwise, type in the path in the filename box. 3) Open the mail database that needs the buttons. This is done just like you opened the PSMail.nsf database. Go to File/Database/Open and type in the database name or path in the filename box. 4) Open the Memo Form for PSMail.nsf. In the left pane of the Domino Designer screen, you will see "Recent Databases". Look for the "PS Sample Mail Database R5". Under the title should be the filename path and a list of the design elements; Outlines, Framesets, Pages, Forms, etc (If you don't see this list, click on the title of the database to hide or unhide the list). Click on the "Forms" design element. In the right pane is a list of the forms in this database. There should be a form called "Memo". Double-click on the "Memo" Form to open it. 5) Make sure that the "Action Pane" is visible. Go to View/Action pane. Make sure it is checked. You'll see the action pane to the far right in the Domino Designer window. 6) Copy the Play Multimedia Action from the PSMail.nsf database. Click on the "Play Multimedia" action once. Then go to Edit/Copy. 7) Open the Memo Form in your mail database. This is done the same way that you opened the Memo Form in the PSMail.nsf database earlier. Find your database in the Recent Databases. Make sure it is the correct database by checking the path under the title of the database. Click on the "Forms" design element. In the right pane, double-click on the "Memo" Form to open it.
